Overview
We understand that plans can change. This policy explains how cancellations, refunds, credits and booking changes are handled for Pass and Move Football Coaching camps and sessions.
By booking your child onto one of our camps, sessions or activities, you agree to the terms below.
1. Booking Confirmation & Payment
Your child’s place is confirmed once payment has been received and you have received confirmation of the booking.
Places may be limited for safety, staffing and venue capacity reasons. Once a camp or session is full, we may operate a waiting list.
2. Cooling-Off Period
Our camps and coaching sessions are leisure activities provided on specific dates and times. Under UK consumer rules, the usual 14-day cooling-off period generally does not apply to leisure activities booked for a specific date or period. This is for general guidance only and is not legal advice.
3. Parent/Guardian Cancellations
Cancellation timelines are measured from the first day of your child’s booked camp or coaching session.
- More than 28 days before the camp starts: Full refund, minus a £10 administration fee per booking.
- 14–27 days before the camp starts: 50% refund of the booking fee.
- Less than 14 days before the camp starts: No refund.
- Within 7 days of the camp start date or after the camp has started: No refund.
Please note that no refunds or credits will be given for missed days, no-shows, late arrivals or early departures.
4. Changes & Transfers
Where possible, we will try to help with booking changes.
Switching to another day or session may be possible if spaces are available and at least 72 hours’ notice is given.
Transferring a place to another child may be allowed with at least 48 hours’ notice, provided the child meets the age and eligibility requirements and all required parent, medical and consent information is completed.
We cannot guarantee changes requested with less than 48 hours’ notice.

5. Medical Cancellations
If your child cannot attend due to illness or injury, we may offer a credit for the unused part of the booking if a doctor’s note or suitable medical evidence is provided.
Medical credits are not cash refunds. Credits are valid for 12 months and are subject to availability.
If your child has a contagious illness, please do not send them to camp or coaching. We may ask for confirmation that they are safe to return.
6. Cancellations by Pass and Move Football Coaching
If we cancel a camp, session or activity before it starts, you will be offered either a full refund or credit.
If part of a camp or session has to be cancelled due to extreme weather, venue issues, safety concerns, staff illness or circumstances outside our control, we may offer a proportionate credit for the cancelled part.
We always aim to run sessions where safe to do so, but the safety of children, families and coaches will always come first.
7. Behaviour, Safety & Safeguarding
We reserve the right to refuse admission or ask for a child to be collected if there are behaviour, safety or safeguarding concerns.
If a child’s behaviour puts themselves, other children, coaches or staff at risk, or seriously disrupts the session, no refund will be due for the affected day or session.
Persistent or serious breaches may result in removal from the remainder of the booking without refund.
8. Non-Refundable Items
The following are non-refundable where applicable:

Any sessions or days already attended

Merchandise, kit or add-ons once ordered, collected or used
9. Refund Method & Timing
Approved refunds will usually be returned to the original payment method.
We aim to process approved refunds within 7–10 business days, although bank or payment provider times may vary.
We cannot refund to a different card or account.
10. Chargebacks & Returned Payments
If a payment is disputed, reversed or charged back, the booking may be suspended while the issue is investigated.
Any third-party fees linked to the dispute may be passed on where appropriate. Future bookings may be refused until any outstanding balance is settled.

Cancellation, refund and change requests must be made by email. Requests made by social media message may not be seen in time and will not be treated as confirmed until acknowledged by us.
12. Discounts & Offers
If your booking included a discount, such as sibling discount, early-bird offer or promotional price, refunds may be calculated based on the discounted amount actually paid.
If cancelling part of a booking means the remaining booking no longer qualifies for a discount, the refund may be recalculated accordingly.
13. Data & Privacy
We will handle your personal information in line with our Privacy Policy. Information may be shared with booking or payment providers where needed to process refunds, credits or booking changes.
14. Policy Updates
We may update this policy from time to time for clarity, legal or operational reasons.
The version in place at the time of booking will usually apply to that booking.
